1. Who is responsible for your information
MultiCAM is the responsible party for the personal information you provide to us, and Astros Marketing (Pty) Ltd acts as the operator where it processes information on our instructions. Our Germiston base and regional support teams, including Johannesburg East, Midrand Service, Pretoria East, Durban North and Cape Town North, may access information only where it is needed to assist with sales, technical support, installations or after-sales service.
If you have questions about this policy, you may contact us through our contact form. We may update this policy from time to time and the current version will apply from the date it is published.
2. What personal information we collect
We collect information that you give us directly, and information that is generated when you use our services. This may include contact details, company name, delivery addresses, site access details, machine requirements, service history and records of your communication with us.
- Name, surname and job title
- Company name and VAT or account details where relevant
- Cell number, email address and physical address
- Machine specifications, tooling notes and service request details
- Operator training records, installation notes and maintenance logs
We may also collect technical information such as IP address, browser type and usage data when you submit an enquiry online. This helps us keep the site working properly and understand how people use it.
3. Why we use personal information
We use personal information for practical business purposes connected to CNC router sales, service and support. This includes preparing quotations, arranging machine installations, booking commissioning visits, managing preventive maintenance, and responding to service calls such as spindle service, controller backups, vacuum leak checks and dust system balancing.
- To respond to enquiries and provide quotations
- To schedule delivery, installation and machine relocation
- To provide operator training and tooling setup guidance
- To process orders, invoices and warranty related work
- To improve service planning, parts handling and workshop support
We may also use information to comply with legal duties, settle disputes and protect our legitimate business interests, including the safety of our staff and customers on site.
4. When we share information
We do not sell personal information. We may share it only where this is necessary to carry out our services or where the law requires us to do so. In some cases, information may be shared with technicians, installers, service coordinators, parts staff or trusted service providers acting under our instructions.
Information may also be shared with:
- Payment and accounting service providers
- Courier or delivery partners
- Technical support providers assisting with machines or systems
- Regulatory, law enforcement or other authorities where required by law
Where a third party processes information on our behalf, we require that party to use it only for the agreed purpose and to keep it secure.
5. How we store and protect information
We take reasonable technical and organisational steps to protect personal information against loss, unauthorised access, misuse or alteration. This includes access control, secure storage, password protection and limiting internal access to staff who need the information for their role.
Because we support workshops across South Africa, some records may be stored electronically for easy retrieval during follow up visits or maintenance planning. We keep records only for as long as needed for the purpose collected, unless a longer retention period is required by law or for legitimate business reasons. In areas affected by load-shedding or unstable connectivity, teams may use offline records temporarily and sync them later, while still following the same security measures.
6. Your rights under POPIA
You have rights in relation to your personal information, subject to legal limits. You may request access to the information we hold about you, ask us to correct inaccurate details, or object to certain processing where the law allows it.
- Request access to your personal information
- Ask for incorrect personal information to be corrected or updated
- Request deletion where we no longer need to retain the information
- Object to direct marketing communications
- Raise a POPIA complaint with the Information Regulator if your MultiCAM South Africa privacy concern is not resolved
If you want to exercise any of these rights, contact us through our contact form. We may need to verify your identity before responding, especially where machine records, account details or service history are involved.
